Why a "folder", not a platform
When the second and third questionnaires arrive, suppliers who built a reusable data sheet answer fast; everyone else starts from scratch each time. You don't need software — you need one well-organised spreadsheet you update once a year. That's your evidence folder.
The fields to track (copy this into a spreadsheet)
Environment
- Annual electricity (kWh) — from 12 months of bills
- Diesel (litres), petrol (litres), LPG (kg or cylinders), CNG (kg)
- Water consumed (kL), waste to landfill (tonnes)
- Your calculated Scope 1 and Scope 2 (tCO₂e)
Social
- Total employees; number of women; contract types
- Minimum-wage compliance (Y/N)
- Policies: workplace safety, anti-harassment (POSH), no child/forced labour (Y/N + date adopted)
- Safety incidents in the year (number)
Governance
- Company legal name, GSTIN, sector, sites
- Code of conduct (Y/N); named ESG/sustainability contact
- Any fines or convictions (Y/N)
Keep one extra column: "evidence link" — where the proof lives (bill, policy PDF, payroll). When a customer asks for backup, you have it instantly.
The yearly rhythm
- Once a year, total up the 12 months of bills and headcount and update the sheet.
- Recalculate Scope 1 + Scope 2 (the free tool does this in minutes).
